Terms and Conditions

  1. Rent Term The Rent Term shall begin on the date/time listed in the rental agreement and expire on the date/time listed in the rental agreement. Rental charges are billed to the Renter for the full term of the rental agreement even if the rented property is returned before the end of the term. 
  2. Late Return The Renter shall return the rented property to North Georgia Rents LLC promptly and on the agreed upon time in the rental term. If the Renter does not return the rented property within 1 hour of the agreed upon return date and time, the rental rate shall continue a full term basis for any additional term or portion thereof until items are returned. 
  3. Identification and Insurance Renting a Smoker or Grill Trailer from North Georgia Rents LLC requires the following: 
    1. A valid state driver’s license issued by any state, territory or possession of the United States, military ID card, or state ID card. The identification must be valid for the entire rental period
    2. Year, Make, Model, and License Plate Number of Renter’s Tow Vehicle if Renter is towing or transporting the trailer.
    3. If Renter is towing or transporting the trailer, proof of vehicle liability, collision and comprehensive insurance covering Renter, Owner, and the Smoker or Grill Trailer. 
    4. A valid working phone number that the Renter can be reached at during the entire rental period. 
  4. Payment Renter shall pay all charges payable on this contract prior to picking up the rented property. Renter is also responsible for paying any additional charges that are incurred during the rental term within 5 days of the due date. Additional charges will be charged to the credit card on file if not paid within 5 days. A $30 late fee will be assessed on all accounts more than 5 days overdue. 
  5. Reservation Deposit A security deposit shall be paid to North Georgia Rents LLC upon booking the rented property as a fee to hold the rented property for the Renter for the specified Rental Term. Rental equipment is not considered reserved until a security deposit is received. The deposit shall be in addition to the base rent of the rental agreement. The security deposit is forfeited if the reservation is canceled less than 14 days from the start of the rental period.
  6. Base Rent The Renter agrees to pay North Georgia Rents LLC the base rent agreed upon in this rental agreement. Rentals during national holidays require a minimum 2 day rental and may be subject to high demand pricing. 
  7. Delivery & Pickup Fee Unless otherwise quoted in this rental agreement,  delivery of the rental property to any location within 10 road miles of North Georgia Rents LLC is $25. An additional $3.00 per mile will be added for distances beyond 10 miles. Pickup of the rental property from any location incurs the same costs as delivery if arranged prior to the start of the rental period. Pickup requests made after the rental period has started are $49 from any location within 10 road miles of North Georgia Rents LLC and an additional $3.25 per mile will be added for distances beyond 10 miles. 
  8. Cleaning Fee If, in the sole discretion of the Owner, the cleanliness of the rented property is not substantially similar to the level of cleanliness of when delivered or picked up, a cleaning fee shall be assessed. 
  9. Use of Equipment Renter further agrees that the rented equipment will only be used for the purpose for which it was intended and manufactured. Subleasing or improper use is prohibited. Any grill or grill trailer should only be operated while on a flat level surface and both wheels are secured to prevent rolling. Renter agrees and understands that a grill is dangerous and can reach outside temperatures in excess of 500 degrees Fahrenheit or 260 degrees Celsius. Renter agrees to protect the area surrounding the grill so neither the Renter nor any other parties are injured by coming in contact with a hot surface of the grill. Human skin can burn at 120 degrees Fahrenheit or 49 degrees Celsius. The grills, smokers, and grill trailers are all metal and conduct heat. When in use, all surfaces of the grill, smoker, and trailer should be considered dangerous to the touch of bare human skin. Use of protective gloves is required when touching the grill, smoker, or trailer during use and cool down. 
  10. Driving Restrictions The grill or smoker trailer shall only be driven on paved roads and shall not be driven at speeds to exceed 65 miles per hour or 104 kilometers per hour. The Renter agrees to only transport the grill or smoker trailer with a vehicle containing a functioning 4 pin trailer light adaptor and agrees to plug in and use the trailer lights at all times while transporting the grill trailer. 
  11. Area of Use or Operation The renter agrees to operate or use the rented property only at described area(s) expressly stated in the rental agreement. The Renter shall inform the Owner upon demand, of the exact location of the rented property at any time while it is in the Renter’s possession. Rental property is not to be taken outside of the State of Georgia without prior written consent from North Georgia Rents LLC. 
  12. Equipment Responsibility Renter is responsible for equipment from time of possession to time of return and is expected to return the rented property in the same condition except for ordinary wear. Renter assumes the entire risk of loss, regardless of cause. If items are lost, stolen, damaged, renter will assume cost of replacement or repair, including labor costs. All rentals are made with the understanding that normal wear and tear is included in the rental rate. However, any damage from misuse or improper care will be charged for. This includes damage to the trailer lights, trailer wiring harness, trailer wiring harness connectors, trailer safety chains, trailer jack, thermometers, or any other accessory installed or affixed to the equipment. 
  13. Operating Condition of Grill, Smoker, and Trailer We will perform an inspection of the grill, smoker, and trailer prior to rental term beginning so as to insure the rented property is in good working order for you. In the event that, during the rental term, the equipment you have rented is not operating as it should or has a problem contact North Georgia Rents LLC as soon as possible. You also agree to discontinue the use of the rented property should it at any time become unsafe or in a state of disrepair. Continuing to use the rented property with a malfunction can cause harm to the Renter or other individuals, excess wear, tear, and damage to the rented property. If you do not call to inform us of the problem with the rented property, and wait to inform us when you return the trailer, you may be held responsible for the full cost of the repairs required to return it to operational condition. 
  14. Fuels The Renters agrees to only use fuels designated as appropriate for each grill. 
    1. Only commercially available propane from a 20 lb commercially available propane tank can be utilized in the propane grill. 
    2. Propane tanks with propane burners are provided on some of the BBQ Smokers and Grills. Each grill with propane burner comes with a tank of propane and shall be returned with a full tank of propane at the renters expense. Any propane tank exchange or re-fuel must come from licensed, insured, and commercially available propane tank exchange or re-fuel merchant. North Georgia Rents reserves the right to reject any returned propane tanks found not to be safe or in good working order. 
    3. Renters can select an optional pre-paid propane refuel option at the time of rental. When selected, renters can return the grill with propane tank at any fuel level. 
    4. Only dried hardwood free from resin or sap or charcoal may be used in the BBQ smoker grill. Examples include Adler, Apple, Cherry, Hickory, Maple, Mesquite, Mulberry, Oak, Peach, Pear, Pecan, and Walnut. Renter agrees not to burn or allow to be burned in the grill trailer any chemically treated wood, lumber scraps, painted wood, stained wood, wood with mold or fungus growth, non-wood materials, soft wood, wood with resin or sap in it, or chemicals. 
    5. Burning any of these prohibited materials in the grill will result in a $500 cleaning and disinfecting fee to be charged to the Renter’s account and this rental agreement. 
    6. DO NOT BURN Cedar, Cypress, Elm, Eucalyptus, pine, fir, redwood, spruce, Sycamore, Eastern Cedar, Sassafras, Liquid Amber, in any grill trailer. 
    7. Commercially available charcoal can also be used in smoker grill or charcoal grill. 
  15. Damage or Loss; Reporting to Police Renter is responsible for all damage to the rented property, missing equipment, and owner’s administrative expenses connected with any damage claim, regardless of whether or not its the Renter’s fault. Renter is responsible for loss due to theft of rented property and all damages that occur in connection with a theft if Renter fails to exercise ordinary care while in possession of the rented property. Renter is responsible for damage due to vandalism not associated with theft of the rented property. Renter must report all accidents or incidents of theft or vandalism to the police as soon as Renter discovers them. Renter must report all accidents involving the rented property to the Owner within 24 hours of occurrence. 
  16. Hitch Requirements An adequate hitch is necessary to properly transportation of the Grill Trailers. The Renter’s tow vehicle must have at least a Class 2 hitch properly installed on their vehicle. This hitch must are capable of carrying up to 3,500 lbs gross trailer weight and 300 lbs trailer tongue weight. The hitch must have a 2 inch tow ball to properly connect with the trailer. The Renter’s tow vehicle must also have a working 4 pin trailer light plug to properly operate the trailer lights. Tow ball height needs to between 19 and 24 inches height from the ground to the top of the tow ball. North Georgia Rents LLC tries to accommodate most vehicle towing configurations. If your vehicle has an extended distance from the tow ball to light connector or safety chain connection please be prepared to accommodate that need. It is the renters responsibility to ensure availability of safe trailering equipment. 
  17. GPS Tracking Disclosure and Consent The rental trailer is equipped with a GPS tracking device to monitor its location at all times for security, recovery, and operational purposes. The Renter acknowledges and agrees that the renter is aware the trailer contains a GPS tracking device and consents to its use throughout the duration of the rental period. The GPS tracker is not to be removed, tampered with, disabled, or otherwise interfered with in any way. Any such action will constitute a material breach of this agreement. If the GPS tracker is removed, tampered with, or disabled, this rental agreement shall be considered immediately terminated. The Owner reserves the right to repossess the trailer without notice and without refund of any rental fees paid. The Renter acknowledges that they have no expectation of privacy with respect to the location of the trailer. The Owner may access, monitor, and use equipment location data at its discretion during and after the rental period as necessary. 
  18. Rules and Regulations
    1. Check propane tanks and hoses for leaks before every use. Apply a light soap and water solution to the house. A propane leak will release bubbles. If a leak is detected make sure all hoses are properly attached and test again. If still leaking discontinue use and notify North Georgia Rents LLC. 
    2. Do not use the grills or smokers indoors or in a confined space area. Do not within 10 feet of a house or dwelling. 
    3. Remove all combustible materials such as leaves, vegetation, paper products, table cloths, etc away from the grill, smoker, and flame. Do not park the grill or smoker in a grassy or field area where combustible plant material can come into contact with the hot equipment. 
    4. Do not leave grill or smoker unattended while in use, or during the cool down period. 
    5. Use a lighter with extended handle when lighting so as not to burn yourself during the lighting period. 
    6. While in use, do not allow fat build up or grease to drop down inside the grill onto an open flame. This can cause fire flare ups which can cause sever burns to human skin. 
    7. Do not spray water onto an open grease fire. Water will not stop a grease fire. Remove the fuel for the fire and close the lid so reduced oxygen can reach the fire. 
    8. Have a fire extinguisher nearby for use in case of a fire. 
    9. Do not transport or move the equipment while the grill or smoker is lit or burning. 
    10. Turn off the propane by closing both the control value on the tank and regulator before transporting the trailer. 
    11. Do not transport or move the grill or smoker while there is still food on the grill. Remove all food items before transport. 
    12. Do not use the inside of the grill or smoker as a storage compartment for transporting food or other items. The equipment is designed for grilling or smoking only and is not a cargo container. 
    13. Do not transport or move the grill or smoker without securely fastening all lids and doors. 
    14. During transport of the grill on public highways the use of the trailer lights and safety chains is required. 
    15. Only dried hardwood free from resin or sap or charcoal may be used in the BBQ smoker grill for fuel. Examples include Adler, Apple, Cherry, Hickory, Maple, Mesquite, Mulberry, Oak, Peach, Pear, Pecan, and Walnut.
    16. Do not burn or allow to be burned in the grill or smoker trailer any chemically treated wood, lumber scraps, painted wood, stained wood, wood with mold or fungus growth, non-wood materials, soft wood, wood with resin or sap in it, or chemicals. Burning any of these prohibited materials in the grill will result in a cleaning and disinfecting fee to be charged to the Renter’s account and this rental agreement. 
    17. DO NOT BURN Cedar, Cypress, Elm, Eucalyptus, pine, fir, redwood, spruce, or Sycamore, Eastern Cedar, Sassafras, Liquid Amber wood.
    18. Some grills or smokers have an integrated storage basket. Use of the basket for storage is acceptable. Make sure to securely fasten down any items or materials before transport begins.
  19. Cleaning the Grill or Smoker Trailer
    1. Clean the grill after each use by removing all fuel material, ash, and coals from the fire box areas and dispose of them in a safe manner. 
    2. Brush or vacuum out the fire box areas completely. 
    3. Remove all food, food debris, and other materials from the cooking and warming areas. 
    4. Rinse off all expanded metal grilling surfaces and expanded metal fire box areas with a pressure washer or high powered hose. Use only water to clean with. 
    5. Do not use any soap or chemicals to clean the cooking or grilling surfaces. 
    6. Do not use any soap or chemicals to clean the fire box area.
